"Automation" gets used loosely, so it's worth being specific about where it actually saves money for a typical SME — and where it doesn't.
Where automation pays off fastest
- Reconciliation — matching payments (especially M-Pesa) to orders/invoices automatically removes a recurring manual task, not a one-time saving.
- Invoicing and fiscalization — connecting invoicing directly to eTIMS removes a manual compliance step and the errors that come with it.
- Reporting — pulling numbers from a single system instead of reconciling multiple spreadsheets saves real hours at month-end.
Where it's often overstated
Automation doesn't fix a broken process — it just makes the broken process run faster. The highest-value automation work usually starts with tightening the underlying workflow, then automating the clean version of it.
A practical way to think about it
Before automating something, ask: is this task repetitive, rule-based, and currently done by a person cross-checking two sources of truth? If yes, it's usually a strong automation candidate. If the task requires judgment calls, automation should support the decision, not replace it.
